This page informs users of their data subject rights and how to exercise them, in compliance with applicable privacy laws including GDPR and CCPA.

1. Introduction

pdfle MultiConf ("we", "us", "our") is a desktop application that allows users to manage, create, and join meetings across multiple video conferencing providers including Zoom. This Privacy Policy explains how we collect, use, share, retain, and process your personal information when you use our application.

2. Information We Collect

2.1 Account & Identity Information

  • Name and email address (obtained via OAuth login from Zoom, Google, or other providers)
  • Profile picture (if provided by your connected account)
  • User ID and access tokens issued by connected services (Zoom, Google, Teams, etc.)

2.2 Google User Data

When you connect your Google account, we access the following Google user data through Google's OAuth 2.0 API, solely to authenticate you and enable meeting management:

  • Google profile name — displayed inside the app to identify your connected account
  • Google email address — used as your account identifier within the app
  • Google profile picture — displayed inside the app (if present on your Google account)
  • Google Calendar events (read-only, only if you grant the calendar.readonly scope) — used to display your upcoming Google Meet sessions in the unified dashboard

All Google user data is stored locally on your device only. It is never uploaded to our servers, never shared with third parties, and is deleted immediately when you disconnect your Google account or uninstall the application.

2.3 Meeting Data

  • Meeting titles, dates, times, and participant lists you create or join
  • Meeting links and join URLs generated or retrieved from connected providers
  • Meeting history stored locally on your device

2.4 Calendar Data

  • Calendar events accessed via connected provider APIs (read-only, only when you grant permission)

2.4 Usage & Technical Data

  • Application crash reports and error logs
  • Feature usage statistics (anonymized)
  • Device type and operating system version

3. How We Use Your Information

  • To authenticate you with connected conferencing providers via OAuth
  • To display your upcoming meetings and calendar events within the app
  • To create, schedule, and launch meetings on your behalf
  • To improve application performance and fix bugs
  • To send you service-related notifications (only with your consent)

4. Sharing Your Information

We do not sell your personal information. We may share your data only in the following circumstances:

  • Connected Providers: When you connect Zoom, Microsoft, or other services, data is exchanged with those platforms per their own privacy policies.
  • Legal Requirements: When required by law or to protect the rights and safety of users.
  • Service Providers: Trusted third parties who assist in operating our app under strict data processing agreements.
Google User Data — No Sharing, Transfer, or Disclosure

pdfle MultiConf does not share, transfer, sell, or disclose any Google user data (including your Google profile name, email address, profile picture, or Google Calendar events) to any third party, for any purpose. Google user data obtained through Google OAuth is used exclusively to authenticate you within the application and is stored only locally on your device. It is never transmitted to our servers or any external service. This is consistent with the Google API Services User Data Policy, including the Limited Use requirements.

AI/ML affirmation: pdfle MultiConf does not use Google Workspace APIs or any data obtained through them to develop, improve, or train generalized artificial intelligence (AI) or machine learning (ML) models.

5. Data Retention

  • OAuth Tokens: Stored locally on your device and revoked upon disconnecting the provider.
  • Meeting History: Stored locally; deleted when you uninstall the application or clear app data.
  • Crash & Usage Logs: Retained for up to 90 days, then automatically deleted.
  • Account Data: Deleted upon your request or when you disconnect all provider accounts.

6. Your Data Subject Rights

You have the following rights regarding your personal data, and you may exercise them at any time by contacting us:

  • Right to Access: Request a copy of the personal data we hold about you.
  • Right to Correction: Request correction of inaccurate or incomplete personal data.
  • Right to Deletion ("Right to be Forgotten"): Request that we delete your personal data.
  • Right to Restriction: Request that we restrict processing of your data in certain circumstances.
  • Right to Data Portability: Receive your data in a structured, machine-readable format.
  • Right to Object: Object to processing of your personal data based on legitimate interests.
  • Right to Withdraw Consent: Withdraw your consent at any time without affecting previous processing.
  • Right to Lodge a Complaint: File a complaint with your local data protection authority.

7. Data Security

  • Encryption: OAuth tokens and sensitive data are encrypted at rest on your device.
  • HTTPS: All communication with external APIs uses TLS/SSL encryption.
  • Local Storage: Most data is stored locally on your device, never on our servers.
  • Access Controls: Only you can access your data through the application.

8. Third-Party Integrations

8.1 Zoom

When you connect your Zoom account, pdfle MultiConf uses Zoom's OAuth 2.0 flow to access your Zoom meetings and calendar on your behalf. We access only the scopes you explicitly authorize. You may revoke this access at any time from your Zoom Installed Apps page. Zoom's own Privacy Policy governs data held by Zoom.

8.2 Google

When you connect your Google account, pdfle MultiConf uses Google's OAuth 2.0 flow to access your Google profile and, optionally, Google Calendar. The specific Google API scopes requested are:

  • openid, profile, email — to authenticate your identity
  • https://www.googleapis.com/auth/calendar.readonly — to read upcoming Google Meet events (only if you grant this permission)

pdfle MultiConf's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. You may revoke this access at any time from your Google Account Permissions page. Google's own Privacy Policy governs data held by Google.

pdfle MultiConf does not use Google Workspace APIs or any data obtained through them to develop, improve, or train generalized artificial intelligence (AI) or machine learning (ML) models.

9. Children's Privacy

Our application is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such data, please contact us immediately.

10. Changes to This Policy

We may update this Privacy Policy periodically. We will notify you of significant changes via an in-app notification. The "Last Updated" date at the top of this page reflects the most recent revision.
